- Typical process: purchasing
Purchasing, from request to payment: where the process breaks between your tools.
The six steps of a purchase, the tools they usually go through, and the probable links: the ones that, once fixed, unblock several steps at once.
The process, step by step
- The request. An employee states a need, most often by email.
- The approval. A manager accepts or refuses, in the purchasing tool or by email.
- The order. The purchase order goes to the supplier.
- The receipt. The goods or service delivered are acknowledged.
- The invoice. The supplier sends it, usually as a PDF.
- The payment. Accounting matches the invoice to the order and pays.
The probable links
These links are deduced: what this type of process usually produces between tools. They say nothing about your company until your readout has compared them with your actual tools.
- Missing integration. The request arrives by email, then is re-entered in the purchasing tool.
- Paid feature switched off. The PDF invoice is re-entered, although a tool you already pay for may offer an extraction feature: to check tool by tool.
- Rule that blocks. The purchasing policy forbids pasting a supplier contract into the AI assistant, as long as there is no protected version of the assistant.
